Billing and Payment Information: When you purchase a one-time package or subscribe to a plan, we collect and store information necessary to process your payment and manage your account. This includes your billing address, country, and (where applicable) tax identification number. Full payment card details are handled and stored directly by our payment processor, Stripe, and are not stored on ArchiVinci's servers. We retain only non-sensitive identifiers such as a Stripe customer reference, the subscription ID, and metadata needed to display your active plan and renewal information.
Subscription and Transaction Data: For users on recurring subscription plans, we store information about your subscription status, current billing period, renewal date, cancellation state, and payment history. This information is used to manage your subscription, deliver access to paid features, and comply with financial record-keeping obligations.
Usage Data: We collect information about how you interact with our website and services, including log data (e.g., IP addresses, browser types, and usage times).
Information is collected through these methods:
Direct Input: Information you voluntarily provide when signing up, interacting with customer support, purchasing a plan, or using our services.

Process Payments and Manage Subscriptions: Process one-time purchases, initiate and manage recurring subscription charges, handle upgrades, downgrades, cancellations, and refunds, and notify you of billing events.

Financial and Legal Compliance: Maintain accounting records, comply with tax obligations, and respond to lawful requests from regulators or authorities.
4. Data Sharing and Disclosure

Payment Processing (Stripe): We use Stripe, Inc. as our payment processor. When you make a purchase or subscribe, information necessary to complete and manage the transaction (including your name, email, billing address, tax ID where applicable, and payment method details) is collected by and shared with Stripe. Stripe stores this information on their own systems and acts as an independent data controller for payment data. Other Third-Party Service Providers: We work with additional service providers for data storage, email delivery, analytics, and other essential operational tasks. These providers are bound by strict data protection agreements and may only process your data on our behalf for specified purposes.

No Storage of Full Payment Details: ArchiVinci does not store full payment card numbers or CVV codes on its own systems. Payment details are tokenised and held by Stripe, a PCI-DSS Level 1 certified payment processor.
Secure Data Storage: We use industry-standard security measures to protect stored data against unauthorised access, alteration, or destruction.
Despite our best efforts, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
6. Data Retention
We retain your personal data only for as long as is necessary for the purposes set out in this Privacy Policy, or as required by law.
Account Data: Retained for as long as your account is active. If you request deletion, we will remove your data subject to any legal retention requirements.
Billing and Subscription Records: Financial and transaction records (including invoices, refunds, and subscription history) are retained for a minimum of 6 years following the end of the relevant financial year, in line with UK tax and accounting record-keeping requirements.
Render Data: As described in our Terms and Conditions, renders created on ArchiVinci are stored for 7 days before being deleted.
Usage Logs: Retained for a limited period for security, troubleshooting, and analytics purposes.

You have rights regarding your personal data under the UK GDPR, including:
Access: You can request to access the data we hold about you.
Correction: You can request corrections to inaccurate or incomplete information.
Deletion: You can request the deletion of your personal data, subject to certain legal restrictions (for example, we may need to retain billing records to comply with tax law even after account deletion).

8. Automated Recurring Payments
If you subscribe to a recurring plan, you authorise ArchiVinci, through Stripe, to charge your payment method automatically at the start of each billing period until you cancel your subscription. You can cancel your subscription at any time through your account dashboard or by contacting us. Cancellation takes effect at the end of the current billing period. 9. International Data Transfers
As a global service, your personal data may be transferred to, stored, and processed in countries outside the United Kingdom, including the United States (where our payment processor Stripe is headquartered). We take steps to ensure that international transfers comply with applicable data protection laws, including through the use of UK-approved transfer mechanisms such as the International Data Transfer Agreement (IDTA), the UK Addendum to the EU Standard Contractual Clauses, or transfers to jurisdictions recognised by the UK as providing adequate protection.
10. Cookies and Tracking Technologies
We use essential cookies for website functionality. We also use some basic traffic tracking tools to collect information about website traffic and user interaction.
11. Children's Privacy
Our services are not intended for children under the age of 16. We do not knowingly collect personal data from children. If we discover that a child under 16 has provided personal information, we will delete it immediately.
